After 19+ years in Health Information Management and working with hundreds of HIM, revenue cycle, and Health IT professionals, I can tell you with confidence that the #1 reason talented people get overlooked has nothing to do with their experience. It has everything to do with how that experience is presented on paper.
Your resume is often the first — and sometimes only — impression a hiring manager gets of you. And if it isn't structured, targeted, and positioned correctly, it won't even make it to a human being. Applicant Tracking Systems (ATS) are filtering you out before anyone ever reads a single word.
That's exactly why I created this guide. Inside, you'll find the five most common resume mistakes I see HIM professionals make — and more importantly, exactly how to fix each one.

By the Numbers
Mistake #1 of 5
Hiring managers spend an average of 6–7 seconds scanning a resume before deciding to keep reading or move on. A cluttered, lengthy, or hard-to-read resume signals disorganization before they read a single bullet point — and in HIM, where attention to detail is a core competency, a messy resume tells the wrong story.
Employers have limited time to review each application. A dense or cluttered resume gets skipped — not because of your experience, but because of the presentation.
Keep your resume to 1–2 pages unless you have 10+ years of experience or are writing a federal resume. Concise and focused wins every time.
Use clear section headings, consistent formatting, and appropriate white space. Your resume should be as easy to navigate as a well-organized medical record.
Graphics, tables, text boxes, photos, and fancy columns often break ATS parsing. Stick to clean, single-column formatting with standard fonts.

By keeping your resume concise, well-formatted, and easy to scan, you increase the chances of it being thoroughly reviewed by a hiring manager — and dramatically improve your chances of advancing in the hiring process.
Use one consistent font throughout — Georgia, Garamond, or Calibri at 10–12pt body size work well and are ATS-safe.
Remove photos, graphics, and text boxes — they confuse ATS systems and can cause your resume to be rejected automatically.
Use clear, standard section headers like Work Experience, Education, Certifications, and Skills — not creative alternatives.
Mistake #2 of 5
Most large healthcare organizations use Applicant Tracking Systems (ATS) to filter resumes before a human ever sees them. If your resume doesn't contain the right keywords from the job description, it gets filtered out automatically — even if you're the most qualified candidate in the pool.
These systems scan your resume for specific words and phrases from the job posting. Missing even a few critical terms can drop your match score below the threshold.
Copy the specific terminology, phrases, and skill names used in the job description — don't paraphrase. If they say "ICD-10-CM coding," use that exact phrase.
Read every word of the job posting. Identify the top 10 skills and requirements mentioned — especially those repeated more than once. Those are your priority keywords.
Ensure your resume directly reflects the requirements and preferences in the posting. Your resume should feel like a direct response to their job description.
✦ The Fix — The 75% Rule
Aim for a 75% or higher keyword match score before submitting any application. By carefully incorporating the right keywords and aligning your resume with the job description, you significantly increase your chances of passing the ATS filter and getting your application in front of a real hiring manager.
Find 10 job postings for your target role across different organizations. Read each one for recurring keywords and requirements.
List every repeated keyword across those 10 postings. Any term that appears 3+ times is a must-have on your resume.
Add missing keywords naturally throughout your bullet points, summary, and skills section — never keyword-stuff in a list at the bottom.
Mistake #3 of 5
One of the most common things I see across HIM resumes is a generic objective statement — or no summary at all. When a hiring manager can't immediately tell what role you want and what value you bring, they move on. Your resume needs to answer two questions in the first 10 seconds: Who are you? And why should we call you?
Employers need to understand the specific type of role you're aiming for in order to assess your fit. A vague or missing summary leaves them guessing.
Without a clear statement of the value you bring, employers won't know how you can contribute to their organization — even if your experience is strong.
Include a concise, tailored 3–4 line summary at the top of your resume that highlights your credentials, specialty area, and the value you deliver.
Demonstrate how your past experience and qualifications directly match the requirements of the specific job you're applying for.

"Seeking a position in the healthcare field where I can use my skills and experience to contribute to the organization."
✅ After
"RHIT-credentialed HIM professional with 5+ years in revenue cycle and coding compliance. Specialized in ICD-10-CM/PCS and Epic EHR with a track record of reducing claim denials and improving documentation quality."

By clearly communicating your target role and the unique value you bring, you give employers an immediate understanding of how you're the right fit — and give them a reason to keep reading.
Mistake #4 of 5
The most common resume mistake I see — and the one that costs talented HIM professionals the most interviews — is writing what you did instead of what you achieved. Employers don't just want to know your responsibilities. They want to see the impact you made. This is where the RACA Method comes in.
✦ The RACA Resume Method
Power Verb + Role/Skill/Tool + Context/Challenge + Quantifiable Achievement. Every bullet point on your resume should tell a mini-story of impact — not just a task description.
❌ Task-Based (Before)
"Responsible for reviewing medical records for coding accuracy."
"Handled patient registration at the front desk."
"Worked with insurance companies on claim denials."
✅ Results-Based (After)
"Audited 200+ medical records monthly for ICD-10-CM/PCS accuracy, maintaining a 98% coding quality rate."
"Processed 80+ patient registrations daily while maintaining 99% demographic accuracy in Epic EHR."
"Reduced claim denial rate by 22% over 6 months by identifying and correcting root-cause documentation gaps."
Volume metrics: How many records, charts, patients, or claims did you handle daily, weekly, or monthly?
Accuracy/quality rates: Did you maintain a productivity or quality standard? Estimate if needed — "maintained 97%+ coding accuracy."
Time/efficiency: Did you reduce turnaround time, improve a process, or complete a project ahead of schedule?
New grads & students: Use practicum, coursework, volunteer work, and professional memberships to demonstrate relevant skills with context.
Mistake #5 of 5
One of the biggest mistakes in a job search is mass-applying with the same generic resume. Every resume you submit should be tailored to the specific posting. That doesn't mean rewriting everything — it means decoding what the employer actually wants and making sure your resume reflects it before you hit submit.
Required = non-negotiable. You must meet these. Preferred = nice to have. If you meet 70–75% of the full posting, apply with confidence.
Many HIM professionals skip roles because they see "RHIT preferred." Preferred is NOT required. Stop letting preferred qualifications talk you out of applying.
Identify the job title → Education requirement → Credentials → Years of experience → Required skills. Do this for 10 postings to spot the trend.
Education, practicum, coursework, relevant memberships, transferable skills from other fields — all of these count. You have more than you think.
✦ The Fix — Before You Apply, Ask Yourself:
Have I read this job description line by line? Do I meet at least 70% of the requirements? Have I added the specific keywords from this posting to my resume? Does my professional summary match this specific role? If yes — submit it.
Companies seek candidates who meet at least 70% of requirements — not 100%. If you're waiting until you're "fully qualified," you're waiting too long.
The job description is a wish list, not a contract. Read it as a guide to position yourself — not as a barrier to entry.
